How to prepare and submit your teaching materials for conversion to accessible, Ally-friendly HTML

Quick summary

Pricing is $0.25 per page with a $20 minimum per job. Standard turnaround is 48 hours (may be longer for extremely large jobs with hundreds of documents). Your content is confidential, not resold, and deleted after delivery.

1. Organize Your Files

Create a folder structure with your email address as the top-level folder, then organize documents by course or category:

Important: File Names Become Document Titles

The HTML page title is taken directly from your filename (without the extension). Name your files clearly and professionally.

Naming Guidelines

  • ✅ Good: CS101 - Introduction to Algorithms.pdf
  • ✅ Good: Midterm Exam - Thermodynamics.pptx
  • ✅ Good: Assignment 4 - Statistical Analysis with R.docx
  • ❌ Avoid: scan_20240115_v2_FINAL.pdf
  • ❌ Avoid: untitled.pptx
  • ❌ Avoid: Document1.doc

Folder Structure Rules

  • Top folder = Your email address (e.g., drchen@university.edu)
  • Subfolders = Course codes or categories (optional, for organization)
  • Files = Individual documents with descriptive names

2. Supported File Types

We accept the following file formats:

  • .PDF — PDF documents
  • .PPT — PowerPoint presentations (legacy)
  • .PPTX — PowerPoint presentations
  • .DOC — Word documents (legacy)
  • .DOCX — Word documents

Note: All file types are converted to page images, then processed into accessible HTML. Multi-page documents are automatically split into individual pages, and large documents are handled reliably (including 100+ pages).

3. Compress and Upload (Dropbox)

  1. Ensure all files are named clearly and organized in folders
  2. Compress your entire folder structure:
    • Windows: Right-click folder → "Send to" → "Compressed (zipped) folder"
    • Mac: Right-click folder → "Compress"
  3. Name your top-level folder as your email address, then ZIP it. The ZIP filename should therefore be your email address:

    Important

    Please upload using the same email address you’ll use to contact us, so we can match your upload to your invoice.

  4. Upload your ZIP using our secure Dropbox submission link:

Privacy note

The Dropbox upload link allows you to upload files to TeachableDocs, but it does not allow you to see any other uploads or browse our Dropbox.

4. After You Upload

  1. Email hello@teachabledocs.com (from the same address used to name your ZIP) and tell us the exact ZIP filename you uploaded.
  2. We’ll confirm receipt, count pages, and send an invoice.
  3. After payment, we’ll deliver your converted files as a downloadable ZIP.

If Dropbox is blocked by your institution

Email hello@teachabledocs.com and we’ll provide an alternate upload method.

5. What You'll Receive

You'll receive HTML files in a matching folder structure:

Each HTML file includes:

  • Self-contained — No external files needed, everything embedded
  • Accessible structure — Clean semantic HTML aligned to WCAG 2.1 AA and optimized for Ally workflows
  • Visual appendix — Original page images embedded at the end for verification
  • Print-ready — Optimized for screen viewing and printing
  • Mobile responsive — Works on all devices
  • Searchable text — All content extracted as accessible text

Deletion policy

Your files are deleted after we deliver your converted materials.

6. Quick Checklist

  • Top folder named as your email address (e.g., email@domain.com)
  • Subfolders organized by course/category (optional)
  • All files have clear, descriptive names (these become titles)
  • Only supported file types (.pdf, .ppt, .pptx, .doc, .docx)
  • Everything compressed into a single .zip file (named like email@domain.com.zip)
  • Upload via Dropbox using the link above
  • Email hello@teachabledocs.com with the ZIP filename you uploaded (e.g., email@domain.com.zip)
